Odoo Implementation for a Manufacturing Company: HPC System LTD

In manufacturing, a single action rarely affects production alone. When raw materials are consumed, inventory records need to update accordingly. The same transaction needs to feed into accounting, while managers need visibility into the status of each production task.

For HPC System LTD, Sandas implemented Odoo to connect manufacturing, inventory, purchasing, accounting and project management in a single system.

HPC System LTD is one of the leading manufacturers of cash drawers and other POS (point-of-sale) products for the retail sector. The company serves thousands of customers worldwide and specialises in durable, high-quality cash drawer solutions.

Project goal: connecting manufacturing, inventory and accounting

Projects like this do not start with a list of modules. They start with understanding how the business actually operates.

Before implementation began, the Sandas team analysed the existing business processes and assessed the company’s manufacturing, inventory and accounting requirements.

This meant understanding how products were defined, raw materials tracked and completed operations logged. It was equally important to establish how production activity should affect inventory levels and what data needs to reach accounting at each stage.

In this case, Odoo was configured to support manufacturing management while connecting production tasks, inventory movements, accounting data and reporting. This was not simply a matter of enabling individual modules. The underlying workflow had to be designed so that the different parts worked as one process.

When manufacturing, inventory and accounting need to be connected, separate applications for separate tasks are rarely enough. The company needs an ERP system that can manage manufacturing and related processes within one environment.

Sandas implemented Odoo with the following modules:

  • Manufacturing – for managing production processes and raw material requirements;
  • Inventory – for managing raw material and finished goods inventory;
  • Purchase – for procurement and supplier orders;
  • Accounting – for financial records and accounting workflows;
  • Project – for managing production tasks and workflow stages.


In a project like this, production activities need to be reflected accurately in inventory, while the data required for accounting has to flow through the system consistently.

For that reason, the project focused not only on system configuration but also on how employees would record their day-to-day production activities.

Preparing manufacturing processes in Odoo

Effective manufacturing management starts with clearly defined product structures. If the system does not accurately specify which raw materials or components are required to manufacture a product, it becomes much harder to plan production, track material consumption and maintain accurate inventory data.

One of the key parts of the project was configuring Bills of Materials (BoMs), which define the raw materials and components required for each product.

Sandas also configured the manufacturing workflows so that Odoo could connect production tasks with material requirements, inventory movements and accounting data.

The Odoo Project module was adapted to support manufacturing processes as well. Sandas established a workflow for registering and managing production tasks using Odoo projects and tasks, allowing progress to be tracked across defined project stages.

Production work and completed operations were also linked to project tasks. In practice, this meant that production in Odoo was connected not only to manufacturing orders but also to the day-to-day work carried out on specific tasks.

Real-time inventory and manufacturing workstationse

Production employees need a quick way to record which raw materials are being used and which operations have already been completed. The warehouse team needs visibility into how these actions affect stock levels, while the relevant data must also flow into accounting for further processing.

When these processes operate separately, employees often have to re-enter information manually or check several disconnected sources to find the data they need.

Sandas implemented real-time inventory tracking for both raw materials and finished goods. The workflow was configured so that manufacturing operations automatically updated inventory and accounting data.

Sandas also configured wireless data transfer from manufacturing workstations directly to Odoo. This allows information to be recorded where the work actually takes place instead of being re-entered later elsewhere.

The required production and inventory information can also be printed directly using label printers.

Odoo data migration, reporting, training and go-live

Before the new system could become part of everyday operations, the existing data had to be prepared and migrated.

Sandas migrated product, raw material and inventory data into Odoo.

The team also created reports for monitoring inventory, manufacturing and warehouse operations. These reports give managers a clearer view of inventory, production and warehouse activity based on data recorded directly in the system.

Another part of the project was the Lithuanian localisation of Odoo. Localisation was important because the system is not only an administrative tool: production, warehouse, purchasing and accounting teams all use it as part of their daily work.

Once the system was configured, Sandas carried out testing and managed the go-live process. Employees were also trained to use the system within the new manufacturing, inventory and accounting workflows.

In projects like this, training is not simply about showing employees which buttons to press. They need to understand when an action should be recorded, which data needs to be entered and how that information will be used at the next stage of the process.

After go-live, Sandas continued to provide consulting and practical support as the team adopted the new functionality.

The core of the project: manufacturing data traceability

In this project, Sandas connected project management, inventory and accounting processes so that manufacturing data could be traced throughout the workflow.

The team established a process for registering manufacturing tasks, automated the recording of production operations and created production monitoring reports based on projects and manufacturing orders.

The project also illustrates why an Odoo implementation for a manufacturing company is more than a technical system setup.

Enabling a manufacturing module is not enough to make production, inventory and accounting operate as one connected process.

The company needs to define where each action is recorded, how that action affects inventory, which data flows into accounting and which reports managers use to monitor operations.

Only then can the system accurately reflect how the business actually works.
